The Perkins is seeking a customer-focused and highly organised Venue Coordinator to coordinate events, venue hire and meeting spaces across our Nedlands and Murdoch campuses. You’ll play a key role in delivering exceptional customer service, coordinating event logistics and ensuring our venues provide a seamless experience for staff, researchers, students and external visitors. This position is offered on a permanent full-time basis and is located at our state-of-the-art medical research facilities in Nedlands.

About this role

Reporting to the Senior Manager, Facilities, the Venue Coordinator is responsible for coordinating events, venue hire and meeting spaces across the Perkins’ Nedlands and Murdoch campuses. You’ll work closely with internal and external stakeholders to deliver seamless events, provide exceptional customer service, and ensure our venues are well utilised and professionally managed. The role also supports the ongoing optimisation of venue operations and audiovisual services.

The key responsibilities of this role include:

  • Coordinate venue bookings and provide end-to-end event support for internal and external clients.
  • Manage event logistics, including catering, audiovisual equipment, parking, security and contractor coordination.
  • Promote events through digital signage and assist with the development of promotional content.
  • Provide basic technical support for audiovisual equipment and coordinate maintenance with external providers.
  • Identify opportunities to improve venue utilisation and enhance the overall customer experience.
  • Manage the administration associated with venue hire, event bookings and consultation room scheduling.
  • Prepare venue hire invoices and assist with reviewing venue service fees.
  • Liaise with the Facilities Management team and other stakeholders to ensure the smooth delivery of events.

  • Excellent communication and interpersonal skills, with the ability to build positive relationships with a wide range of stakeholders.
  • Strong organisational and administrative skills, with the ability to manage multiple priorities and meet deadlines.
  • A proactive, customer-focused approach and a commitment to delivering exceptional service.
  • Confidence working independently and collaboratively within a team in a fast-paced environment.
  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Experience using Microsoft Office and booking or scheduling systems, with the ability to quickly learn new technologies.
  • Experience coordinating events, venue hire or customer-facing operations (highly regarded).
  • Experience using or supporting audio visual equipment and technology (desirable).
